Registration & Selection Process

Our events are not open-registration festivals.

We don't operate on a "first come, first served" basis, but instead use a curated selection process.

This approach allows us to create a balanced, high-quality, and safe social dance environment — essential for the experience we want to offer.

As a community-driven, non-profit organization, our goal is not to maximize capacity, but to create a balanced, high-quality, and safe social dance environment.

Due to the limited capacity and the focus on the overall atmosphere, we cannot invite every dancer.

Our goal is to create a balanced, friendly, and family-like environment, with:

  • A great balance between leaders and followers
  • A diverse mix of dancers from different countries and backgrounds
  • A friendly, respectful, and social environment with a family-like atmosphere
  • A dance floor where people feel comfortable, connected, and safe

This approach is not about selecting “better” or “worse” dancers, but about shaping a group dynamic that makes the event enjoyable for everyone and preserves the unique atmosphere we aim for.

Absolutely not.

A rejection of your application does not reflect your dance skills, personality, or value as a dancer.

It simply means that, at that moment, we needed to adjust the balance of the event differently.

We understand that this can sometimes feel disappointing.

Every decision is made with the best intention to create a balanced and enjoyable experience for everyone.

We encourage you to keep dancing, growing, and connecting with the community — there will be many more opportunities to join us in the future.

Being on the waitlist means:

  • We would love to have you at the event
  • At the moment, there is no available spot that fits the current balance of the group

This can change as:

  • The overall event balance evolves
  • Cancellations occur
  • We adjust the group composition

Adding more dancers is not just about capacity — it affects the entire energy of the event.

We carefully manage:

  • Leader/follower ratio
  • Overall group size to maintain a family-like atmosphere
  • Dance quality and comfort
  • Social dynamics

As a community-driven, non-profit organization, we focus on quality over quantity.

Maintaining these elements is what makes the event special.

Each application is reviewed individually and thoughtfully.

We consider factors such as:

  • Dance roles (leader / follower)
  • Gender (male / female)
  • Experience and dance level
  • Balance within the event
  • Diversity of the group (countries, age, experience)
  • Social responsibility and respect toward others
  • Overall event needs at the moment

We also take into account feedback from past events, where participants indicate whom they most enjoyed dancing with or sharing the weekend with.

These insights are private and help guide the selection, so that a large part of our dancers are effectively chosen by the community itself.

Applying early does not guarantee priority — decisions are not based on "first come, first served."

Registrations are reviewed continuously.

Depending on the event, we may work with different registration rounds or rolling applications.

Because selection depends on the evolving structure of the event, the process may take some time.

We kindly ask for your patience.

If a spot becomes available, we may contact you.

However, being on the waitlist does not guarantee acceptance — it simply means you are a potential fit if the event's balance allows it.

Cancellation & Pass Transfer Policy

No. Due to our selection process and balance requirements (gender, country quotas, and diversity of backgrounds), passes cannot be resold or transferred to another person.

To ensure fairness and maintain the curated group dynamic, each pass is linked to the registered dancer only.

If you cannot attend, we offer the option to transfer your pass to a future edition of the event.

This means:

  • You can move your pass to the next year's edition
  • You may request a transfer to a different upcoming edition or to another one of our dance events

Please note that transfers to different editions are subject to approval based on:

  • High number of applicants
  • Selection process requirements
  • Limited event capacity
  • Gender balance, country quotas, and diversity of backgrounds

Transfers may also require additional payment if the price of the new edition is higher than the original.

No. All sales are final, and we cannot offer refunds.

This helps us run our events sustainably and maintain the quality and safety of the experience for all participants.

Pass transfers must be requested before the transfer deadline, which is indicated in the pass confirmation email.

After this deadline, transfers are no longer possible, regardless of the reason (illness, travel issues, or any other circumstances).

The reason is practical - we need to plan catering, venue, and all services accurately, which are pre-ordered and prepaid per participant. Last-minute changes would disrupt the entire budget and the event's organization.

Transfers must be requested through your profile on our service platform.

We cannot accept requests via email or social media. This ensures that all transfers are properly recorded and processed.

Yes. It is your responsibility to ensure you have:

  • Valid passport and visa (if required)
  • Adequate travel arrangements
  • Insurance coverage for travel, personal items, or cancellations

We cannot accept liability for any injury, loss, or damage — physical or mental — before, during, or after the event.

We strongly recommend insurance to protect your pass and travel investment in case you are unable to attend.

Our events are small-scale, carefully curated social dance experiences.

Maintaining balance, safety, and quality depends on:

  • Precise planning of attendees
  • Catering, venue, and services ordered and paid for in advance
  • Preserving the overall group dynamic and atmosphere

These cancellation and transfer rules ensure fairness for all participants and allow us to deliver the experience you signed up for.
